Converting a Lead to a Client
Converting a Lead to a Client
When a lead is ready to become a formal client — typically after booking their first practitioner session — you convert them in the CRM. This creates a full client record and enables the treatment plan, goals, and case notes features.
How to Convert
- Go to Admin → CRM tab
- Find the lead by name or email and click their record
- Click Convert to Client
- Fill in the conversion form:
| Field | Required | Notes |
|---|---|---|
| Phone | Optional | Mobile preferred |
| Date of Birth | Optional | For practitioner records |
| Address | Optional | |
| Referral Source | Optional | e.g. "Google", "Word of mouth", "Chatbot" |
| Referral Detail | Optional | Specific detail about the referral |
| Consent Given | Recommended | Check to record informed consent |
| Intake Notes | Optional | Initial impressions, presenting concerns, context |
- Click Create Client Record
You will be redirected to the new client record immediately.
After Conversion
The client record is now active. You can:
- View all previous chatbot sessions and Bio Decode Reports
- Create a treatment plan
- Add goals
- Write structured session notes
The client's lead score and chatbot history are preserved and visible from within the record.
Consent Recording
The Consent Given checkbox records the date and time of consent. This is important for practitioner records — check it only when the client has explicitly given informed consent for their data to be used in their coaching programme. The consent date is stored permanently and cannot be edited after saving.
